Presentation instructions

The presentations of accepted manuscripts will be done using powerpoint or pdf formats. We will have an MS windows and a MAC OS machine ready to support your presentations in the conference room.

If you have videos, as a general guideline, please stick with formats/codecs that are supported in the default MS Windows 7 installation.

Each presentation has been allocated 25 minutes, including question and change-over time. The Guideline is to use 15 minutes for presentation and 10 for discussion.

The projection format is wide (16:9) with a default resolution of 1366x768. You must make sure that you try your presentation at least during the break (coffee break or lunch) that precedes your talk. The best is always to liaise with your session organisers. Please remember that for a paper to be published it needs to be presented by an author.

Final version instructions

Submission of final versions is now open !

Just like the initial versions, your camera-ready manuscript must follow the IEEE 2 column format, not exceed 4 pages (plus references) and be submitted electronically in PDF format via the Ex Ordo online submission system. Links to LaTeX and Word templates can be found at at the bottom of the page. The final submission will include the revised manuscript, a copyright agreement form (that can be found here) and details on how you addressed all comments form reviewers.

In order to prepare the final version of your manuscript, please follow these steps:

  1. Make sure your paper addresses each and every comment of your reviewers (you will be asked to submit a companion letter detailing how).
  2. Proof-read your manuscript and check the grammar.
  3. Make sure your paper doesn't have page numbers and that your references are properly balanced in the last page as per IEEE guidelines.
  4. Add the appropriate copyright notice to the footer (left side) of the first page of the paper:
    1. If all authors are employed by the US government, the copyright notice is:
      U.S. Government work not protected by U.S. copyright.
    2. If all authors are employed by a Crown government (UK, Canada, Australia), the copyright notice is:
      978-1-5090-2696-8/16/$31.00 ©2016 Crown.
    3. For papers in which all authors are employed by the European Union, the copyright notice is:
      978-1-5090-2696-8/16/$31.00 ©2016 European Union.
    4. For all other papers the copyright notice is:
      978-1-5090-2696-8/16/$31.00 ©2016 IEEE.
  5. With the paper ready, the PDF file must be checked for PDF eXpress compliance, ouside of the Ex Ordo system.
    Check PDF file compliance with IEEE PDF eXpress: Go to the PDF eXpress website and use “39080X” as the conference ID. If you have used PDF eXpress before (for another conference), login with your credentials. Follow the instructions for setting up a new title. If you are a new user, please set up a new account and carefully read all the instructions. After you login, you can find information on how to prepare your source or PDF file in the menu on the left. You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for Checking, the email will show if your file passed or failed.
  6. Once you have a compliant PDF file (checked or converted by PDF eXpress), you are ready for submission. Login to your ex ordo account and submit the compliant file.
    Remember that you will be asked to upload the final version of the paper and detai how you addressed all the comments from the reviewers and the copyright agreement.

Accepted papers that were marked by their authors as "not to be published" require no further action. We still reccomend that the reviewers' comments (that were the base for acceptance) are taken into consideration for the presentation.
